Application
These terms and conditions govern the agreement between Woodcamp Adventures ("the Company") and the client for all bookings and tours. By confirming a booking, the client accepts these terms. All references to "client" include agents acting on behalf of the client, where applicable.

Applicable Law & Jurisdiction
This agreement is governed by the laws of Uganda, and any disputes shall be resolved under its jurisdiction. Clients must adhere to the laws and regulations of all destinations visited during the tour.
Bookings
Bookings will only be confirmed once the client has paid in full and completed all required documentation. Any changes or cancellations to bookings are subject to these terms.

Child Policy

Children aged 8–15 are welcome but must be accompanied by an adult and travel on a request basis.

Children aged 16–18 may travel independently but require a signed letter of consent from a parent or guardian.
Tour Prices
The Company strives to ensure accurate pricing but reserves the right to adjust prices due to external factors. Clients will be notified of any changes promptly.

Inclusions & Exclusions
Tour prices cover only the services and items specified in the itinerary. Additional expenses, such as optional activities, are the client's responsibility.

Deposits
A non-refundable deposit of 30% is required to secure a booking and will be applied toward the total price.
Payment Deadlines

Full payment must be made no later than 28 days before departure. Failure to pay may result in cancellation and applicable penalties.

Bookings made within 28 days of departure require full payment upfront.
Cancellations By the Client
If the client cancels, the following penalties apply:

29+ days before departure: Non-refundable deposit is forfeited.

28–15 days before departure: 50% of the tour price.

14–7 days before departure: 75% of the tour price.

Less than 7 days before departure or no-show: 100% of the tour price.
The Company may apply the deposit toward cancellation penalties.
Cancellations By the Company
The Company may cancel tours for reasons such as unforeseen circumstances or insufficient bookings where applicable. In such cases, clients will receive a full refund, including the deposit, with no further claims against the Company.
Amendments By the Client
Clients wishing to change tours must:

Confirm availability on the desired tour.

Pay an administrative fee.

Request the change at least 28 days before the original departure date.
Changes requested after this period will be treated as cancellations, subject to applicable penalties.
Amendments By the Company
The Company reserves the right to make adjustments to itineraries due to operational or external factors. Clients will be notified of significant changes promptly.
Travel Documentation
It is the client’s responsibility to ensure all necessary travel documents (e.g., passports, visas, vaccination records) are valid and compliant with destination requirements. The Company is not liable for any consequences resulting from incomplete or incorrect documentation.
Insurance
Comprehensive travel insurance is mandatory and must include:

Medical coverage, including air evacuation.

Coverage for trip cancellations.
Clients unable to present proof of insurance may be excluded from the tour, with applicable penalties enforced.
Baggage
Clients are allowed one bag weighing up to 23 kg and one daypack. Excess baggage requires prior approval and may incur additional fees. The Company is not responsible for loss or damage to baggage or personal items.
Health & Fitness
Participation requires a reasonable level of physical fitness. Clients over the age of 68 must provide a medical certificate confirming their fitness for the tour.
Behavior & Authority on Tour
Clients must comply with all local laws and behave responsibly during the tour.
The Company reserves the right to exclude clients for disruptive or dangerous behavior without refund or compensation.
Marketing Consent
Clients consent to the Company using photographs and videos taken during the tour for marketing purposes. Copyright for such material belongs to the Company.
Force Majeure
The Company is not liable for delays, changes, or cancellations caused by unforeseen events such as natural disasters, political unrest, or strikes.
Indemnification & Liability
The client acknowledges the adventurous nature of the tours and accepts personal responsibility for associated risks.
The Company is not liable for:

Injury, illness, or death.

Loss or damage to personal property.

Delays or disruptions beyond its control.
Clients indemnify the Company against claims arising from their participation in the tour. By confirming your booking, you agree to these terms and conditions.
